A role-based platform for healthcare workforce operations across companies, facilities, units, and care teams. It brings shift demand, clinician availability, credential status, time capture, and financial administration into a single working system.

Business problem

Healthcare organisations often coordinate contingent staffing through disconnected calls, spreadsheets, emails, and paper timesheets. That makes it difficult to fill shifts quickly, confirm that clinicians meet unit-specific requirements, maintain an accurate record of hours, and calculate complex pay and billing rules without rework.

Solution

We built a shared operational platform where authorised teams can create and manage staffing demand, invite or match qualified clinicians, monitor applications and acceptances, verify credentials, and track work through clock-in and timesheet workflows. Built-in billing and invoicing tools turn approved time into clear financial records.

Architecture

A Vue.js single-page application uses Vue Router and Vuex to deliver role-aware administrative and clinician experiences. It communicates with a Node.js and Express REST API, backed by MySQL through Knex and Bookshelf. Supporting services handle queues, scheduled jobs, email, document storage, logs, and caching to keep operational workflows responsive.

Challenges

The platform had to model several organisations and levels of access while preserving accurate staffing and financial records. The key challenges were enforcing role-based permissions, handling the lifecycle of openings and clinician invitations, linking credentials to facility and unit requirements, calculating overtime and rate variations consistently, and turning clock-in data into reliable timesheets and invoices.
